When knowledge depended on just a few people<\/strong><\/h2>

Before the advent of ISO standards, when a systematic and controlled approach to document management was NOT<\/strong> the norm, many companies, in certain areas, were at the mercy of the ingenuity, experience, and expertise of certain individuals.<\/p>

People who, over time, aware of their \u201cpower\u201d as the sole experts, established their own fiefdoms, doing as they pleased and running the \u201cestate\u201d however they saw fit.<\/p>

Furthermore, aware of their \u201ctreasure\u201d and out of sheer self-preservation, they would only share bits of knowledge on a case-by-case basis.<\/p>

Only what is fair and necessary.<\/p>

And whenever adversity strikes: \u201cDon\u2019t worry, I\u2019ll take care of it.\u201d Just in case\u2026 <\/p>

Fishing for others, but without teaching them how to fish<\/strong><\/h2>

\u201cI\u2019ll fish for you when you\u2019re hungry, but it wouldn\u2019t occur to me to teach you how to fish.\u201d<\/p>

And watch out!!! That said, they\u2019re top-notch professionals and hard workers like no other. \u201cHats off\u201d<\/strong> to their commitment, determination, and efficiency. \u201cGive Caesar what belongs to Caesar.\u201d <\/p>

However, this approach is \u201cbread for today and hunger for tomorrow.\u201d<\/strong><\/p>

When Geniuses Retire, Too<\/strong><\/h2>

We should realize that \u201cthis\u201d isn\u2019t Sildavia, and even these priceless \u201cgeniuses\u201d eventually retire.<\/p>

And that’s where\u2014who would have thought?\u2014all our troubles began.<\/p>

Because when knowledge isn’t documented, shared, and managed, the departure of a key person can turn into a real organizational disaster.<\/p>

<\/strong>What ISO Taught Us<\/strong><\/h2>

ISO taught us to \u201cwrite down what we do\u201d<\/strong> and to audit ourselves to verify that we<\/strong> really \u201cdo what we write.\u201d<\/strong><\/p>

And, although the first ISO standards were probably adopted to \u201csell more\u201d<\/strong> than the competition, the truth is that implementing them \u201cin-house\u201d has made us accustomed to working with:<\/p>

  • document management,<\/li>
  • history of editions,<\/li>
  • distribution lists with controlled copies,<\/li>
  • document traceability,<\/li>
  • multi-criteria indexing to improve access to information.<\/li><\/ul>

    Building a culture of documentation isn’t always appealing<\/strong><\/h2>

    And although starting from scratch without a culture of records management can be a real \u201cpain,\u201d with no apparent benefit, the reality is quite different.<\/p>

    Aside from working in one way:<\/p>

    • consistent,<\/li>
    • planned,<\/li>
    • methodical,<\/li>
    • controlled,<\/li>
    • collective,<\/li><\/ul>

      What we end up with is that \u201cknowledge\u201d<\/strong> and \u201cexperience\u201d<\/strong> also stay \u201cat home.\u201d<\/strong><\/p>

      And may these transitions not turn into a cataclysm.<\/p>

      In addition, it facilitates progress by providing a true retrospective view.<\/p>

      <\/strong>Retaining talent and extending its value<\/strong><\/p>

      And this doesn’t mean we don’t have to actively seek out \u201ctalent.\u201d<\/strong><\/p>

      Talent is essential to effectively support the \u201cpresent.\u201d<\/strong><\/p>

      Simply put, good document management helps us preserve that knowledge and \u201cextend\u201d<\/strong> its benefits into the future. Because it\u2019s not just about having brilliant people. It\u2019s also about ensuring that their knowledge leaves a lasting impact, establishes a method, and ensures continuity. <\/p>

      It’s not about writing just for the sake of writing<\/strong><\/h2>

      It’s not about “writing just for the sake of writing.<\/strong>“<\/p>

      This isn’t “by weight.<\/strong>“<\/p>

      Investing in \u201ccontent\u201d<\/strong> is essential.<\/p>

      Don’t write too much. And don’t write in a literary style. <\/p>

      But rather in the following way:<\/p>

      • Clara,<\/li>
      • concise,<\/li>
      • In short,<\/li>
      • practical,<\/li>
      • understandable.<\/li><\/ul>

        So that anyone\u2014even someone with no background in the subject\u2014can understand it and, why not, follow it and put it into practice.<\/p>

        <\/strong>Integrated Management Systems as a Reflection of the Company<\/strong><\/p>

        Integrated Management Systems are no small matter, and we must invest in them.<\/p>

        Not to make excuses.<\/p>
